Ways to Ensure a Successful Event

Plan well ahead. It’s no good expecting things to fall into place at the last minute. Some weddings that I’ve worked at have been planned twelve months in advance, although six months is more usual.

Make a list of everything that you can think of that needs doing. Then add to the list as you think of other things.

Prioritise your ‘to do’ list. Put into chronological order.

Check several venues for facilities and price. If possible try to visit the venue when it is set up for a function and also try to see it again in the daylight or at least as a second visit.

The kind of things to look for are ample 13 amp sockets. Facilities for dimming or brightening the lights. If you are booking entertainment, visibility of the performers from the audience perspective. Changing rooms for the artistes. It may help to take with you a check list.

Availability of the room during the day or, better still the night before your event, for setting up. You also need to be aware of the setting up time required for your entertainers. You shouldn’t expect a band to arrive at seven and be on stage at seven thirty. They need time to prepare.

Try not to interfere with the people that you have hired for the various tasks. If they are professional, they will have the experience to know what they are doing. It also helps to form a good relationship, which in turn makes everyone more cooperative in the event of a mishap or if the timing is out.

Following on from that, it does pay to hire professionals. It may cost slightly more than hiring ‘your brothers friend who does a bit’ but will ultimately save you from pulling your hair out or feeling embarrassed in front of your guests.
